The modern corporate environment is one that is becoming increasingly obsessed with productivity and efficiency, but also with cost-cutting. This usually means cutting down on spending for as office space, while finding ways to maximize what is currently available. Even commercial office space design has become part of this combination, such that there are numerous options a company has if they want to get the most out of their staff. One of the recent developments is the use of a practice known as the “hot desk.”

For a certain period of time or during a specific shift, the seat – along with all the equipment, such as computers, on it – is occupied by a single employee. With enough shuffling of the hours that each employee works, this can allow up to three different people to use the same desk at different hours. This is a common setup for 24-hour operations that are constrained by the physical limits of their Makati office. The idea is to maximize productivity without spending for bigger office space or additional computers.

Benefits

The hot desk arrangement clearly has the advantage of maximizing the use of any given desk and computer. If an entire office is arranged in this manner, it is possible to triple the productivity of any given desk forcing a single employee to triple his production and burn out. This, along with management of shift hours, can make it possible for a small company to ramp up operations even without getting more commercial office space.

Drawbacks

There is still a cost attached to the hot desk system, though. While the company might save on acquiring new space and equipment, there is a corresponding increase in payment for electricity and other utilities. Since the computers and other equipment are turned on for more hours, there is also a slight increase in the likelihood of hardware failure. This can be avoided by keeping the computers cool through constant air-conditioning—which means higher electricity bills.

The choice to use the hot desk strategy might depend on projections of the business. Would the increase in productivity, and the potential increase in revenue, be worth it in comparison to the increase in the cost of utilities? The company might also want to ensure it has, or can find, employees that are willing to work during the night shift or other awkward hours. That said, a Makati office that uses this system will find that it’s a double-edged sword which should be managed effectively.
